Measuring Success

The key to measuring success is observation, feedback and conversation.

  • Spot signs of progress

When confidence grows, the “how do I…?” questions slow down. Later, the questions often shift to “Can Teams do this?” or “What’s the best way to share this file?”, a clear sign of growing skills with your organisation. A good sign that adoption of the tools is visible is the Teams channels are busier, co-editing is taking place in SharePoint and files, not attachments, are shared as OneDrive links.

Feedback is essential for successful implementation and integration – both praise and complaints reveal valuable insights. Positive comments show where tools are adding value, whilst negative comments help to identify where people still require support.

Celebrating Wins

Recognising progress keeps momentum going. When people feel appreciated, they’re more likely to keep using and exploring Microsoft 365 tools.

Ways to Celebrate

  • Mention great examples in a meeting or newsletter
  • Post a quick thank-you or shoutout on Teams
  • Share a short before and after story to show impact
  • Congratulate a team for completing a digital task or moving a process online

Example:

Thanks to the HR team for moving holiday requests to Microsoft Forms, you have saved everyone hours of admin time!”

Using Microsoft 365 Tools to Measure Progress and Success

a) Microsoft Forms

Use Forms to quickly collect feedback from colleagues.
Ask short, focused questions like:

  • “How easy is Microsoft Teams to use?”
  • “What tools do you want more help with?”
  • “What has improved your work most this month?”

Forms automatically summarise results, perfect for sharing in meetings or updates.

b) Microsoft 365 Admin Centre

If you are a manager or digital champion with access, the Admin Centre gives you useful adoption data, such as which apps are used most and how activity is changing over time. Allowing you and your technical team to combine this data with your own observations for a complete picture.
